Pre-survey communication

The department heads whose staffs are to be surveyed need to understand the reasons the property has been chosen for the survey and an overview of the process. The reasons for surveying, along with expectations and goals of the process, are best explained by the general manager. This should be accomplished as part of a regular staff meeting.

Once department heads understand the survey process and its benefits, they will need to communicate that information to their employees in a staff meeting. In communicating the survey process, several key points should be stressed:

  • Completed surveys will be kept confidential. Employees will not sign the surveys and will not be identified by their individual responses.
  • General managers and department heads will receive the employees' surveys in feedback packages. Survey results will be discussed with employees for objective setting and action planning.
  • General managers and department heads will receive a feedback package only if they have five or more direct reports. To protect the employees' anonymity, survey results from any group of less than five people will be combined with results from another appropriate group or groups reporting to the same manager.
  • General managers and department heads will be the first ones to receive a feedback package including their own employees' results.
  • An independent data-processing firm will tabulate survey results and prepare feedback packages. Completed survey forms will be destroyed after results have been tabulated. The data-processing firm will also use computer programs that protect employees' anonymity.

Setting the date

When planning the climate survey, consider the following before selecting survey dates:

  • Schedule around heavy business periods.
  • Avoid scheduling during the budgeting process.
  • Avoid scheduling during staffing changes.
  • Allow at least 14 days' lead time.

One week is usually an adequate amount of time to allow for administering the survey at your property. Remember that you are checking the climate of your property at a particular moment in time. To be effective, the survey should not be extended over a period of more than two weeks.

Once you have established the days on which the survey will be administered, schedule a meeting with the supervisors to plan for the survey of each of their employees.

This survey is designed to get your ideas on what it is like to work at this property. It is not a test; there are no right or wrong answers. The best answer is always just what you think. The purpose of the survey is to measure employee attitudes and opinions, and the work climate of this property. You should respond to each statement as honestly as you can so your answers, along with those of other employees, will provide a measure of what it is like to work at your property.

Your answers are completely confidential. No one at this property will see your filled-in survey. To be sure that your answers will not be identified, please do not write your name on the form.
